The PenaltyProof promise — what it covers and what it does not

What PenaltyProof commits to, the limits of the service, and how the alert system works in practice.

What PenaltyProof does

PenaltyProof monitors statutory filing and tax obligation deadlines for the companies and charities you add. When a deadline is approaching, it emails you in advance at the thresholds set for your plan (30, 14, and 7 days for most obligations on paid plans; at-overdue only on Free). It uses data from Companies House, HMRC published deadline schedules, and the dates you configure for tax obligations.

What PenaltyProof does not do

PenaltyProof does not file returns on your behalf. It does not access HMRC or Companies House on your behalf. It does not verify whether a filing has been accepted — it monitors the publicly visible filing status via the Companies House API and detects when a return appears. It does not guarantee that every possible obligation is covered; see the feature-status article for the current list.

Alert accuracy

Alerts are derived from Companies House data (updated nightly in the CH API) and the obligation dates you configure. If a due date is wrong in the source data, or if you have configured an incorrect tax period end date, the alert date will be wrong. We recommend checking your configured dates at /manage (Clients tab → company settings).

No guarantee of delivery

PenaltyProof sends alerts via Resend (email delivery). We monitor delivery status and suppress emails to addresses that have hard-bounced. However, email delivery is not guaranteed — spam filters, inbox rules, and ISP-level blocking can all prevent delivery. We recommend adding alerts@mail.penaltyproof.co.uk to your contacts.

What if PenaltyProof misses a deadline?

If you believe an alert was missed that should have fired, email hello@penaltyproof.co.uk with the company number and deadline in question. We will investigate and let you know what happened. We do not indemnify against penalties — see /terms.

Can I rely on PenaltyProof as my only compliance check?

PenaltyProof is designed as a safety net alongside your existing practice workflow, not as a replacement for your own deadline management. We recommend maintaining your own deadline schedule and treating PenaltyProof alerts as an additional layer of confirmation.
